PURPOSE

What will we use your personal data for?

At KNOWMADIANS SL, we will process your personal data to engage with you and provide the services you have contracted. Specifically, we will process your personal data for the following purposes:

– Maintenance of the professional relationship and delivery of the contracted service. To initiate a professional relationship with our client and provide our Advanced IT Consulting Solutions service.

– Sending offers and promotions related to our sector, as long as you have given explicit consent. This advertising may be directed through digital means: email, WhatsApp, SMS, social media, or any other current or future electronic or physical medium that allows us to conduct commercial communications. We will keep you updated with our latest advancements in technology and IT processes that may interest you for the development, growth, and optimization of your business processes.

– Additionally, if requested through our link, we will send an online newsletter with news and updates about our products and services.

– Preparation of a budget tailored to your needs according to your request received by any means made available on our website.

– Manage email communications with interested parties who have contacted us so we can clarify any questions about our services, prices, or availability.

– Management of company employees and human resources. All necessary management to maintain the company’s HR department: employment contracts and payrolls, time control, training, occupational hazard prevention, sick leaves, vacations, etc.

Why do we need to use your personal data?

We cannot offer effective service without your authorization for their use. We provide a series of consent checkboxes where you can freely and clearly make a decision.

What is the legal basis for processing your data?

Depending on the purpose of collecting our data, the processing of your data is necessary to:

RECIPIENTS

Who will know the information we have asked for?

Both our properly authorized staff and our business partners may be aware of the information we request solely to provide you with the service you have contracted with us.

Therefore, your personal data may be transferred to companies that need access to provide you with the Advanced IT Consulting Solutions you have hired us for.

Currently, our website is hosted on IONOS servers, managed by IONOS Cloud S.L.U, whose servers are located within the European Union (you can read their privacy policy by clicking here).

Likewise, those entities that need to access your personal information in order to provide our services will be informed. For instance, our bank will know your details if payment for our services is made by card or bank transfer.

Additionally, public or private entities will be informed of your information if we are required to provide your personal data due to the fulfillment of any law. For example, the Tax Law requires certain information about economic transactions that exceed a specific amount to be provided to the Tax Agency.

Lastly, to be fully transparent with you, we indicate that for sending the aforementioned commercial communications, we currently use the tool Brevo (Sendinblue), which complies with data protection guarantees, committing to the fulfillment of the GDPR 2016/679 (Regulation (EU) 2016/679 of the European Parliament and of the Council of April 27, 2016, concerning the protection of individuals with regard to the processing of personal data and on the free movement of such data). Therefore, through this double opt-in mechanism, you grant us your explicit consent for the purposes described above, as well as the eventual international transfer of your data to this platform.

No communication of personal data to third parties is anticipated, except, if necessary, for the development and execution of the purposes of the processing, to our communication-related service providers, with whom the DATA CONTROLLER has signed the confidentiality and data processing agreements required by the current privacy regulations.
If, apart from the mentioned situations, we need to disclose your personal information to other entities, we will previously request your permission through clear options that will allow you to decide in this regard.

How do we protect your personal data?

In compliance with the provisions of current regulations on personal data protection, KNOWMADIANS SL is complying with all the provisions of the GDPR and LOPDGDD regulations for the processing of personal data under its responsibility, and specifically with the principles described in Article 5 of the GDPR, by which they are processed in a lawful, loyal, and transparent manner in relation to the interested party and adequate, relevant, and limited to what is necessary in relation to the purposes for which they are processed.

KNOWMADIANS SL ensures that it has implemented effective security measures based on the risks involved in using your information through appropriate technical and organizational policies established by the GDPR and LOPDGDD to protect the rights and freedoms of USERS and has communicated the appropriate information so that they can exercise them.

KNOWMADIANS SL has approved a Data Protection Policy and carries out biannual compliance checks and annual audits to ensure that your personal data is secure at all times.

Will we send your data to other countries outside the EU?

We inform you that, except for the situations already described, your data will NOT be internationally transferred to any third country.
If it is essential to send your data to a country that is not as secure as Spain to provide you with the service, we will always ask for your permission in advance and apply effective security measures that reduce the risks of sending your personal information to another country.

How long will we keep your personal data?

We will keep your data during our professional relationship and for as long as current laws oblige us, in any case, no longer than necessary to maintain the purpose of processing for which they were collected. Once the applicable legal periods have ended, they will be safely deleted with adequate security measures to guarantee the anonymization of the data or total destruction of them.

As the GDPR and LOPDGDD do not specifically stipulate a limitation on the retention period, it will be necessary to consider the purpose for which the data was collected and the principle of proportionality, and, on the other hand, refer to other regulations to determine the retention periods of your personal data.

For maximum transparency with you, we indicate that the general calculations we work with are:

– Accounting and fiscal for commercial purposes: six (6) years.
– Labor or Social Security: four (4) years.

However, despite the existence of these general periods, we inform you that we periodically review our systems to proceed with deleting or eliminating data that is not legally necessary.
